Frequently asked questions
Quick answers about ordering, samples, documents, delivery and payment. If your question is not here, send it to us and our team will answer it.
Ordering & MOQ
What is your minimum order quantity (MOQ)?
The MOQ depends on the product, the grade and the packaging. For example, vanilla and essential oils are often ordered in smaller quantities than beans, pulses or coffee. Tell us the product and the packaging you need and we will confirm the MOQ in our offer.
How do I place an order?
Send us an inquiry with the product, grade, quantity, packaging and delivery place. We reply with a written offer (price, Incoterm, lead time, payment terms). When you confirm the offer, we send a proforma invoice and the order is booked.
Can I combine several products in one order?
Yes. Mixed orders are common, for example spices, beans and coffee in one shipment. Each product has its own MOQ, and we plan the packing so the shipment is full and safe.
How long does it take to prepare an order?
Lead time depends on stock, on the harvest season and on the work needed. Products in stock in standard packaging ship faster; grinding, special grades and private-label packs take longer. The exact lead time is written in every offer.
Samples
Can I get a sample before I order?
Yes. Samples are usually available so you can check quality, aroma, size and moisture before you place an order. Ask for a sample in your inquiry and tell us how you will use the product.
Do samples cost anything?
Small samples are often free, or offered at cost. The courier fee is normally paid by the buyer, or shared with us. We confirm the cost before we send anything.
How long does a sample take to arrive?
We prepare samples in a few working days. After that it depends on the courier and the destination country, including customs.
Will my order match the sample?
Yes, that is the purpose of the sample. We keep a reference sample of what we sent, so the bulk order can be compared with it.
Quality & documents
Which documents come with an order?
Usually a Certificate of Analysis (COA) for the lot, a product specification sheet, a certificate of origin and, when the destination country asks for it, a health or phytosanitary certificate. Tell us your import requirements and we will confirm the full list in the offer.
What is tested on each lot?
Typical checks for spices, beans, coffee and other natural products are moisture, aroma, appearance and foreign matter, and, when the market asks for it, microbiology and pesticide residues. Essential oils are typically checked for density, refractive index and composition (GC analysis). The exact tests depend on the product and on your market.
Which certificates do you hold?
Please see our Quality & Documents page. Certificate copies are shared on request with your offer.
Can you meet my company's own specification?
Often, yes. Send us your specification (for example moisture, bean size, vanillin content, mesh size or microbiology limits) and we will tell you which products and grades can meet it.
Delivery & Incoterms
Which Incoterms do you offer?
We commonly quote EXW (you collect from our warehouse), FOB (we load it on the ship at the port of loading), CIF (we pay freight and insurance to your port) and DAP (we deliver to your named place, you clear import customs). The Incoterm is written in every offer.
Do you ship worldwide?
Yes. We arrange export shipments from Madagascar by sea or air. Tell us your country and city and we will quote the best route.
How is the cargo packed for shipping?
Products are packed in food-grade bags, cartons, vacuum packs or drums (for essential oils), labelled with product, lot number and weights, and loaded on pallets when needed. We follow the packing and marking you agree in the offer.
Can I track my shipment?
Yes. After loading we share the shipping documents and the tracking or container number, so you can follow the shipment.
Payment
What payment terms do you accept?
Payment terms are agreed per order and written in the offer. Common terms in our trade are advance payment by bank transfer, part advance with the balance before shipment or against documents, and a Letter of Credit (LC) for larger orders.
Which currencies can I pay in?
Offers are usually made in US dollar (USD) or euro (EUR). Ask us if you need a different currency.
Do you send a proforma invoice?
Yes. After you accept the offer we send a proforma invoice with the bank details, and a final commercial invoice with the shipment.
Private label
Can you pack products under my brand?
Yes. Private label is one of our services: we pack the product in retail or food-service packs with your brand and your label design.
What do I need to provide for private label?
Your artwork or brand guidelines, the pack size and type, and the label text required in your market (ingredients, weight, origin, best-before, importer details). We help you check the label before printing.
Is the MOQ different for private label?
Yes, it is usually higher, because printed packaging has its own minimum quantity. We confirm both the product MOQ and the packaging MOQ in the offer.
